Privacy Policy

At Spot Pet Insurance, we have been, and continue to be dedicated to protecting your privacy and ensuring your personal information is kept current, confidential and secure. With our Spot Pet Insurance services (the “Services”), we are committed to using your personal information responsibly and follow strict guidelines of confidentiality and security to safeguard your information.

In the course of providing our Services, it is necessary to collect, record, store, process, transmit and otherwise handle your personal information. We take privacy responsibilities seriously and seek to provide fair, secure and appropriate methods for the handling of your personal information. Our policies are consistent with generally accepted privacy and business practices. This Spot Pet Insurance Privacy Policy (“Policy”) complies with applicable laws. We have designated a Privacy Officer admin@spotpetinsurance.ca to ensure our compliance with Canadian legislation; to receive and respond to any of your questions and complaints, and to deal with any of your requests for access and changes to our files.

The ‘Process’ herein refers to the collection, storage, use and disclosure of Personal Information. By registering as a user with Spot Pet Insurance you authorize and consent to the collection, use and disclosure of your personal information, as described in this Policy, by Spot Pet Insurance and its affiliates and third party service providers.

Spot Pet Insurance Ten Privacy Principles

1. Accountability

At Spot Pet Insurance we mandate to maintain and protect the personal information under our control and have designated an individual within the company to be accountable for compliance with these principles.

2. Identifying purposes

We shall identify the purpose of the personal information collected prior to or at the time the information is collected.

3. Consent

Individual’s consent will be obtained for the collection, use or disclosure of personal information, except where the law provides an exemption.

4. Limiting collection

The personal information we collect shall be limited only to that which is necessary for the purposes identified.

5. Limiting use, disclosure and retention

Personal information shall only be used or disclosed for the purposes for which it was collected, unless an individual has otherwise consented or when it is required or permitted by law. Personal information shall be retained only as long as necessary for the fulfillment of these purposes.

6. Accuracy

Spot Pet Insurance shall keep personal information as accurate, complete and up-to-date as may be necessary to fulfill the purposes for which it is to be used.

7. Safeguards

We use the most current electronic and physical safeguards appropriate to the nature of your personal information to insure the privacy and confidentiality of your personal information.

8. Openness

We will provide information to individuals about our policies and procedures relating to the management of personal information that is under our control.

9. Individual’s access

On written request to our Privacy Officer, an individual will be informed of the existence, use and disclosure of their personal information that is under our control, and may be given access to that personal information as required and permitted by law. Individuals are entitled to challenge the accuracy and completeness of that personal information and request that it be amended, if appropriate.

Any questions or enquires concerning compliance with our privacy policies and procedures may be addressed to our Privacy Officer at admin@spotpetinsurance.ca.

What is Personal Information?

Personal Information is any information or set of information about a natural person, which, either alone or in combination with other information, could be used to identify a person directly or indirectly.

Personal Information may include, but is not limited to, a person’s name, home address, email address, or telephone number. It may also include unique numerical identifiers such as a computer’s IP address or a mobile device’s unique identifier, geolocation data, information related to products and services purchased, and data concerning website traffic and visits to the extent that such data is connected to a person’s Personal Information.

Personal Information does not include information anonymized through the removal of identifying details in a way that ensures the data can no longer be connected to an individual.

What Personal Information do we collect?

Spot Pet Insurance may collect from you: (i) Personal Information (as defined below) and (ii) Non-Personal Information (as defined below), including technical and other information. You may choose not to provide us with your Personal Information. However, choosing not to provide certain requested Personal Information may prevent you from accessing and taking advantage of the Offerings of Spot.

When we use the term “Personal Information” in this Privacy Policy, we mean information about you that is personally identifiable to you, such as your contact information (e.g., name, address, email address, or telephone number). IP address, or other personally identifiable information. When we use the term “Non-Personal Information”, we mean information about you but does not identify you.

Personal Information

At the time you begin the quoting process, you may be asked to provide us Personal Information including:

  • Identifiers such as your name, and

  • Contact information such as your address, phone number, email address

  • Payment information such as checking account, debit, or credit

Non-Personal Information

While you are browsing the Services, we automatically certain other technical information including your browser type and connection speed and your activities while using the Services (such as the pages you visited). When you access the Services from a mobile device, we may collect anonymous information from that device including browser type, and device type, and other usage information about your device.

Age

The offerings are not permitted for children under 14, and we do not collect personal information from children. By using the Services, you represent that you are not under the age 14. Any information we receive from users we believe to be under the age of 14 will be purged from our database.

Why we collect and use personal information

Collecting personal information about you is essential to our being able to provide you with the products and services that best meet the needs of you and your pet. While the personal information we collect may come directly from you, by registering with our Services, you authorize Spot Pet Insurance to collect information provided by our affiliates or other third parties (such as employers, insurance brokers or agents, credit organizations, veterinarian professionals, etc). Your decision to withhold information may limit or affect the quality of Service that we can provide to you.

Spot Pet Insurance limits the collection of your personal information to that which is necessary for the Services that we provide, to market other services that may be of interest to users, and to comply with our regulatory and legal obligations. Spot Pet Insurance will not disclose your personal information to any third party for any other purpose except as identified in the Policy. In the event that your personal information is used or disclosed for any purposes not reasonably related to the Services, we will first obtain your consent for such purpose, except where prohibited by law. The personal information that we collect may be used:

  • To verify your identity

  • To carry out the Services requested by you

  • To determine your eligibility for products and services

  • To understand and access your ongoing needs and offer products and services to meet those needs

  • For billing and accounting services relating to our products and services

  • Promoting insurance and pet related products

  • Producing business through its affiliate and producers

  • Responding to an inquiry from you or address a request submitted by you (including contacting you directly to process your inquiry or request)

  • Corresponding with you regarding the Offerings

  • Undertaking business activities that Spot may legally undertake; and / or Enforcing our Terms.

  • For customer communication, service and administration

  • For internal, external and regulatory audit purposes

  • To comply with legal and regulatory requirements

In this Privacy Policy, the above list of Identified Purposes will be referred to as the “Identified Purposes”. We will not Process or disclose your Personal Information to any third party, for any other purpose except as identified or otherwise permitted by law. In the event that your Personal Information is used or disclosed for any purpose not reasonably related to the Identified Purposes, we will first obtain your consent for such purpose, except where prohibited by law.

Methods of collecting personal information

Spot Pet Insurance, its affiliates and third party service providers may collect Personal Information from customers, policy holders and prospects in several ways, including verbal, written and electronic forms, through the Web, by telephone, mail, email, SMS and chat (as applicable), through its authorized third party business partners, affiliates, or otherwise, including, but not limited to, when they:

  • Request or obtain a quote for pet insurance

  • Complete a transaction with us, or our affiliated companies, or our business partners. This includes products and services you have purchased from us or information about your payment history or claims

  • Participate in Our contests, promotional offers or receive discounts or benefits

  • Sign up or accept to receive newsletters, promotional and marketing emails, or other communications from Us concerning our products, services, promotions or events

  • Visit our website or social media platforms, or interact with emails or online advertising. Further details are provided in the Cookies & Digital Marketing section

  • Contact, interact or communicate with one of our representatives to submit a request for service, remark, question or complaint. In this regard, because some of Our services are provided by telephone, the calls may be recorded to ensure the quality of Our services and to protect both parties in the event of disagreement

  • Participate in a survey or Customer research sent by us.

When we receive Personal Information from you through our website, by phone or by mail that enables us to provide you with a requested product or service, or to respond to a specific question, request or complaint, you consent to allow us to deal with that Personal Information in a reasonable manner. We do not sell information about our customers to others.

Retention of Personal Information

We will only collect, use, or disclose Personal Information that is necessary for the Identified Purposes. We will retain your Personal Information only as long as necessary to accomplish the Identified Purposes or to satisfy our legal or business obligations, including for the purposes of satisfying any legal, tax, accounting, or reporting requirements.

Some of the factors considered when determining the appropriate retention period for Personal Information, include the amount, nature, and sensitivity of the Personal Information Processed, the potential risk of harm from any unauthorized use or disclosure of your Personal Information, the purposes for which we Process your Personal Information, and applicable legal and contractual requirements.

As explained in the section ‘Your Personal Information Rights’, you can request the deletion of your Personal Information. Once the purposes for Processing the information have been fulfilled and the Personal Information is no longer required, or if you ask us to delete the information, we will delete it. In some circumstances we may permanently anonymize your Personal Information so that it can no longer be used to identify you in any way, in which case We may use the anonymized data without further notice to you.

Consent to use personal information

Your consent may be obtained in various ways. We may obtain your express consent or we may determine that consent has been implied by the circumstances. Express consent could be in writing, or verbally in person or over the phone. When we receive personal information from you through our website, by phone or by mail that enables us to provide you with a requested product or service, you consent to allow us to deal with that personal information in a reasonable manner.

Providing us with your personal information is always your choice. When you request services from us, we ask that you provide information that enables us to respond to your request. In doing so, you consent to our collection, use and disclosure to appropriate third parties of such personal information for these purposes. You also authorize us to use and retain this personal information for as long as it may be required for the purposes described. Once your personal information is no longer required, or at your request, we shall take reasonable steps to destroy our records.

Your consent remains valid even after the termination of our relationship with you unless you provide us with written notice that such consent is withdrawn. By withdrawing your consent, or not providing it in the first place, you may limit or even prevent us from being able to provide you with the products or services desired.

In certain circumstances, consent cannot be withdrawn such as where personal information is required for policy issuance or renewal, insurance underwriting or claims administration of current polices. There are also legal exceptions where we will not need to obtain consent or explain the purposes for the collection, use of disclosure of personal information.

Information sharing

In order to conduct our business and offer you the products and services that you may want, we may share your information as allowed or required by law. We may share your information with our affiliates or third parties outside of the company to service, market or underwrite our products and services to you. We may share your information with insurance agents and brokers who sell our products and services. We may also share your information with companies that we have formal agreements with to sell our products and services. We do not sell client lists or personal information to others for direct marketing purposes. In accepting the Services, you give us authority to disclose your personal information to veterinarians, animal shelters and other emergency services personnel who have scanned your pet’s microchip and have access to our ervices.

We may need to disclose the personal information we collect to affiliates, subsidiaries, successors and other service providers or agents who perform various functions for us. We require any third parties we deal with to implement reasonable privacy and security procedures and practices.

In certain circumstances, we may be required to provide Personal Information to third parties for legal or regulatory purposes. We may share your Personal Information in the event of merger, acquisition, or any form of sale of some of all our assets, in which case Personal Information held by us about our customers will be among the assets transferred to the buyer.

We may also use this personal information to assess your future needs and to offer the products and services selected by us that may best meet those needs, from affiliates, reputable organizations with which we have strategic alliances or ourselves. If you do not wish to receive these offers or such information, please contact our privacy officer to opt-out using the form below.

Transfer of Personal Information

We or service providers acting on our behalf may Process and/or store some or all of your Personal Information across jurisdictions to include the United States of America and Canada. You should note that some jurisdictions outside of Canada, or from province to province, may not have laws that provide privacy protections that are substantially similar to those in your home jurisdiction. Please note we will assess the any privacy risks involved with storing data in a particular jurisdiction in advance, as well as ensuring contractual obligations with Our suppliers and contractors are written to provide protection that best matches the highest level of privacy deemed appropriate in the United States of America and Canada.

Third Party Websites

Spot Pet Insurance may reference or provide links to third party websites. We are not responsible for the third-party websites, and you should review the privacy policies posted on such sites. Please be aware that Spot does not control, nor are we responsible for, the privacy policies or information practices of third parties or their websites.

If you provide Personal Information on Spot’s site, receive a quote for pet insurance, and decide to purchase the insurance, you will leave our site and be redirected to a different website to purchase that insurance. Your purchase of the insurance product is through a third-party website over which we have no control. We do not receive any of the information you provide on that website to purchase insurance.

Marketing and Other Communications

Social Media: The social media accounts of business are public, and therefore we recommend anyone who chooses to interact via social media should first read the terms of use and confidentiality and privacy policies of those platforms to inform themselves of how Personal Information is used by those platforms. Since all content posted on any of our social media accounts can be viewed publicly, we recommend users exercise caution when providing or disclosing Personal Information or details about themselves.

Spot Pet Insurance often offers content or discussions on our social media accounts, which, depending on your account settings, you may allow us to access certain Personal Information associated with your social media account(s). We may also collect the date and time you visited the page for the purpose of sharing. We may use this information to confirm your identity and personalize your experience. We may also use the services provided by social media platforms to display targeted advertisements intended for the users of such platforms.

Email and advertising targeting: We strive to manage all email addresses responsibly and in compliance with the applicable laws. Therefore, pursuant to the express consent you have given us, or the implied consent based on our existing business relationship, we may send you promotional messages by email, unless you unsubscribe from such emails.

To better understand and improve the effectiveness of our email marketing efforts, when We send you an email for marketing purposes, we collect information to assess the open rate and to know whether you clicked on the links in the email, and which of our website pages you visited.

You may remove your name from our mailing list at any time by following the unsubscribe link displayed at the bottom of our advertising emails. This action will automatically opt you out of receiving further marketing solicitations. Note that despite unsubscribing from our commercial messages, certain specific situations such as invoicing or information about your policy or membership allow us to send you emails in accordance with the exceptions provided by law.

Cookies and Digital Marketing

Spot Pet Insurance, and its affiliates and social media platforms, may use certain automated tools including cookies, browser analytics tools, server logs and web beacons to offer you a more customized browsing experience, to better recognize your needs, to follow trends, to target marketing initiatives and to offer you content that is more relevant to you. Third-party services may also be utilized to gather and analyze data about the areas visited on the websites (such as the pages most frequented, time spent, search terms and other engagement information) in order to further enhance the user experience.

Cookies: Our websites utilize cookies. A cookie is a small file stored on your computer or other browser-enabled device. We use cookies to enhance our websites, personalize the user experience, improve search speed, and identify when users revisit our websites. These cookies do not read data from your device or other websites' cookies. You have the option to refuse cookies by selecting the appropriate setting within your browser. However, if you choose to select this setting, it may impact your ability to access certain parts of our websites.

Targeted data made available by digital marketing service providers: We could also utilize services provided by third-party platforms e.g. Search and Social Media to present targeted advertisements, based on the user data collected by such platforms. In general, the way you engage with and receive advertisements on those platforms is governed by each platform’s own respective privacy policy, terms of use and preference options. We may also sometimes use third-party platforms to offer users more targeted advertising, based on multiple factors such as the platform’s user data and interactions with us outside of the platform, as applicable.

Web Beacons: Website pages may contain electronic images known as web beacons or single-pixel gifs which allow us to count visiting users as well as record other related statistics, such as measuring the popularity of specific content on the website pages. Web beacons are only used to compile aggregated statistics about website use.

Usage Details and IP Addresses: While you navigate around our website, we may also collect information about your visit, including, but not limited to: traffic and location data and logs, other communication data resources that you access, as well as information about your device and internet connection, including your IP address, operating system and browser type, for system administration and to report aggregate data to our advertisers. This is considered statistical data and does not identify any individual.

Web Analytics

Spot Pet Insurance utilizes analytical tools by Google, Inc. (Google Analytics, App + Web, Google Tag Manager and Google Campaign Manager) or others to evaluate data to analyze the browsing behavior of visitors to its sites as well as to understand the allocation and the result of traffic sources.

When your computer or device requests page access on one of Our websites, the data gathered for web analytics may include, but may not be limited to Google Advertising ID (GAID) and/or Apple Identifier for Advertisers (IDFA) for mobile users, date and time accessed, IP address (not including any visitor identifying details), browser and operating system, pages visited, and any documents downloaded.

The use of digital markers (i.e., “temporary” and “persistent” Cookies) is required. Personally identifiable information is not stored by or otherwise provided to service providers. IP addresses are de-identified by either masking them completely or in part prior to being transmitted to and stored on Google’s servers to safeguard your Personal Information.

The data collected for these purposes may be aggregated and utilized by us for statistics, analysis, targeting needs and behavior, verification, research, developing and reporting. This information is only made available to those individuals who require it for the performance of their job responsibilities.

Keeping information accurate

It is important that your personal information is accurate and complete. Having accurate information about you enables us to give you the best possible service. We rely on you to keep us informed of any changes, such as a change of address, telephone number or any other circumstances.

You have the right to access, verify and amend the information we have about you. A nominal fee may be charged for this service and, if so, you will be given prior notice of the amount that will be charged.

How we safeguard personal information

At Spot Pet Insurance, we employ physical, electronic and procedural safeguards to protect our systems and all personal information under our control against unauthorized access and use. All safety and security measures are appropriate to the sensitivity level of the information collected.

Our service providers and agents are required to maintain client confidentiality, and may not use the information for any unauthorized purpose.

Employees are governed by strict standards and policies to ensure that personal information is secure and treated with the utmost care and respect.

Your Personal Information Rights

Depending on your country of residence, you may be entitled to additional rights over your Personal Information:

Right to be Informed: You have the right to be provided Identified Purposes for processing Personal Information.

Right of Access: You may have the right to access your personal information maintained by us. Upon receipt of a verifiable request to access Personal Information, we will disclose and deliver, free of charge, the Personal Information requested not later than 30 days after the request was received.

Right of Deletion: You may have the right to request that we delete any Personal Information about you which we have collected from you. Upon receipt of a verifiable request for deletion, we will delete your Personal Information from our records and direct any service providers to delete your Personal Information from our records, not later than 30 days after the request was received.

Right of Correction: You may the right to request the correction of inaccurate records of Personal Information.

The right to withdraw consent: You may have the right to withdraw consent at any time, however, we may retain Personal Information for the period in which it is necessary to fulfill the purpose for which it was collected.

Right to lodge a complaint: Any questions or inquiries concerning compliance with our privacy policies and procedures may be addressed to our Privacy Officer at admin@spotpetinsurance.ca.

We will comply with your request to delete Personal Information unless it is necessary for us to maintain your personal information in order to:

  • Complete a transaction, provide requests for goods or services, and / or perform a contract between you and us

  • Detect security incidents

  • Comply with a legal obligation; and

  • Enable our internal uses that are aligned with your expectations and your relationship with us

Submission of requests for information: In order to exercise your Personal Information rights, please email reply@spotpetins.com. Please provide the following information to service your request:

  • Name

  • Address

  • Phone Number

  • Email Address

Verification: After you submit a request, we will promptly take steps to determine whether your request is a verifiable request. We will take steps to verify that you are who you say you are before honoring your request.

Authorized Agent: You have the right to designate as an authorized agent to submit a request on your behalf. If you use an authorized agent to submit such a request, we will require that you:

  • Provide the authorized agent written permission to act on your behalf; and

  • Verify your own identity with us before we can honor the request

No discrimination: We will not discriminate against an individual because the individual exercised any of the rights described in the Privacy Policy.

Texting Terms

Spot may use your mobile telephone number to send transactional and promotional text messages to you, and, where appropriate, will obtain your consent to do so prior to sending text messages. These “Texting Terms”, which are incorporated into the Privacy Policy, apply when you give prior express consent to get text messages from Spot.

Consent to Text Messages

By giving Spot your consent or “Opting-In” to receiving text messages:

  • You agree that these Texting Terms apply to the receipt of text messages;

  • You confirm that you are the subscriber to the to the relevant phone number or that you are the customary user of that phone number on a family or business plan and that you are authorized to give consent for that phone number;

  • You agree to let us know if you no longer are in possession of that phone number. If you do not, Spot is not responsible for any text message sent to a new user of that phone number;

  • You agree that Spot’s Privacy Policy is a part of these Texting Terms and all information received pursuant to these Texting Terms will be handled in accordance with that privacy policy;

  • You agree that you reside in Canada, and,

  • Message frequency varies.

Information Contained in Texts

After consenting to the text messages from Spot, you may receive from Spot one-time, or recurring texts, related to the following activities:

  • Messages may include marketing.

  • Messages may include reminders about a Spot pet insurance quote you received;

  • Messages may include requests regarding feedback regarding your either your experience in getting a quote for, or purchasing, a Spot pet insurance policy or as a Spot policy holder;

  • Messages may include important information about the lapse of your policy, renewal of your policy or reactivation of your policy;

  • Messages may include information regarding claims submitted under your policy;

  • Text “HELP” for help; and,

  • Message and data rates may apply.

Stopping Texts

Spot and you agree that there is only one way for us to stop text messages from Spot and that is to reply STOP to any text you receive from Spot. While that STOP will stop further text messages relating to the information above, the STOP may generate a confirmation text regarding your request to stop receiving text messages.

If you have enrolled your phone number multiple times with Spot for different types of text message information, a STOP for each program may be required to completely stop receiving each type of text messages from Spot. For instance, if you elected to receive information regarding topics related to claims or customer service, you will need to provide a separate STOP for that information.

Changes to this Privacy Policy

Please note this Privacy Policy will change from time to time. We will post any changes on this page and, if the changes are significant, we will also provide a more prominent notice.
